Your customers can use ACH or a credit card to pay for goods and services that your business provides. The Transaction Information window displays your customer's payment authorization information.
This window appears if you have recorded ACH or credit card payment authorization or authorized the payment using Sage Exchange.
- On the Receive Money window or the Receive Money at time of sale window (accessed from Sales Invoicing), click the Record button.
- Enter the last 4 digits of the credit card number, the expiration date, the authorization code, and any comments.
- Click Save. This is where you record credit card authorizations that were processed outside of Sage 50.
- On the Receive Money window or the Receive Money at time of sale window (accessed from Sales Invoicing), click Process.
- This will open Sage Exchange where you can process a credit card by entering the information or using a credit card reader. You must have an account set up with Paya to process credit cards through Sage 50.
- Open the receipt you want to refund.
- Click the Approved - Issue Refund link. The receipt populates with the negative amount to refund.
- Click Process.
- On the Sage 50 Payment Solutions window, click Submit. The Credit Card Information window opens and shows Credit - Approved. You can print the refund receipt for the customer to sign.
- Click OK and save the refund receipt. Sage 50 retains the original receipt and creates a refund receipt showing the amount credited. The original receipt shows a status of Approved - Refund Issued. The refund receipt shows a status of Approved-Refund Receipt.
Note: After a credit card payment is approved (authorized) using Sage Exchange, the transaction amount will be processed (settled) by the gateway payment service in daily batches. The default Batch Settlement Time preference is approximately 3:00 A.M. (Eastern time) each day that authorizations are requested. You can change your daily batch settlement time preference at the gateway provider Web site. Funds will be deposited to your account within five business days of the date of the batch settlement.
Printing a receipt: Once the payment is authorized, you will be able to print a receipt for the credit card transaction from the Credit Card Information window.
Authorization Status
If the credit card payment has been authorized using Sage Exchange, "Sale - Approved" will appear in the upper-left corner of the window.
If you typed in an authorization code, "Pending" will appear in the upper-left corner of the window.
- On the Receive Money window or the Receive Money at time of sale window (accessed from Sales Invoicing), click Process. This will open Sage Exchange where you can process an ACH payment by entering the customer's bank account information. You must have an account set up with Paya to process ACH through Sage 50.
Note: After an ACH payment is approved (authorized) using Sage Exchange, the transaction amount will be processed (settled) by the gateway payment service in daily batches. The default Batch Settlement Time preference is approximately 3:00 A.M. (Eastern time) each day that authorizations are requested. You can change your daily batch settlement time preference at the gateway provider Web site. Funds will be deposited to your account within five business days of the date of the batch settlement.
Printing a receipt: After the payment is authorized, you can print a receipt for the transaction from the Transaction Information window.
Authorization Status
If the payment has been authorized using Sage Exchange, "Sale - Approved" will appear in the upper-left corner of the window.
The following fields will appear for credit card or ACH transactions:
This is the name and billing address for the cardholder or bank account owner. If the payment was authorized through Sage 50, this information comes from Sage Exchange. If you manually recorded the authorization, this is the name and address entered on the Payment & Credit tab for this customer in Maintain Customers.
Note: The name and address entered on the Payment & Credit tab in Maintain Customers is the name and address used in Sage Exchange. However, you can change this information in Sage Exchange at the time you process the payment.
Note: When you authorize transactions using Sage Exchange, all authorized transaction amounts will be processed (settled) by the payment gateway service at the daily Batch Settlement Time you have set up. The default Batch Settlement Time is approximately 3:00 AM (Eastern time) each day that authorizations are requested. You can change your daily batch settlement time preference at the gateway provider Web site. Funds will be deposited to your account within five business days of the date of batch settlement.
This field is for information purposes only and is not used during the authorization process. However, if you process payments through Sage 50, comment information was collected by Sage Exchange at the time of processing and used in online transaction reports. To help manage your transactions online, you might want to enter the associated customer ID, invoice number, or other help reference number that will assist in reconciling receipts.
This is the credit card or bank account number that was authorized for this transaction. This number is shown in a masked format with only the last 4 digits displayed; for example, XXXX-XXXX-XXXX-NNNN where NNNN are the last 4 digits of the credit card number.
This identifies when the credit card authorized for this transaction will expire. The was the expiration date that was either used when the credit card was authorized using Sage Exchange or manually recorded if this credit card was not authorized through Sage 50.
This is the authorization code for this transaction. This is the code that was either returned from Sage Exchange when the transaction was processed through Sage 50 or manually entered when the transaction was recorded.
