Void
Existing Invoice (Window)
To void a selected invoice in the Sales/Invoicing windows, click the Void button in the toolbar.
Then the Void Existing Invoice window appears with the following data:
Number: This is the original invoice number.
Date: This is the date of the invoice.
Source: This indicates where the invoice was created; the source will always be Accounts Receivable (AR).
Amount: This is the total invoice amount.
Customer Name: This is the name of the customer the invoice was issued to.
At The following invoice will be voided as of, Sage 50 offers the system date as the default void date. Accept this date, or enter a new one. Then, to void the invoice, click OK.
When you void an invoice, Sage 50 does the following:
- creates a new voided invoice based on the original entry and makes a reverse entry to your general ledger, thus cancelling the original invoice (debiting sales and crediting accounts receivable)
- creates a zero-dollar receipt to pay off both the original and the voided invoice so that neither shows up as an aged receivable
Note: In cases where maintaining an audit trail is not important, you can choose to delete rather than void an invoice. Tell me more about when to delete instead of voiding an invoice.
