Contacts
(Maintain Customers/Prospects)
Use this tab to enter information on contacts for this customer. You can set up an unlimited number of contacts for each customer.
- All Ship To Addresses will be converted. The contact Last Name field will be given the number of the Ship To address. For instance, Ship To Address 1 will be converted to an address accessible from the Contacts tab and it will also be converted into Contact 1.
- The value that was in the Recipient field on the Addresses tab will be used for the Company Name field on the Contact tab. The Addresses tab has been removed. Addresses can now be added and edited from the Contacts tab.
- Converted Recipients will have Company Name selected for the Use _________ in the ship-to address.
- The lowest numbered Ship To Address will be made the default address for the customer. Usually, this is Ship To Address 1.
- When a Bill-to Contact is converted, the Name field on the General tab shall be copied to the Company Name field on the Contacts Tab
- Click New Contact.
- Complete the fields.
Note: At least one of the following is required: contact name, company name, address line 1. If you leave all of these blank, you will not be able to save the new contact record.
- Click Save Contact. This will save the entire customer record.
- Add another contact, if necessary.
- Select the contact you want to delete in the Select a Contact field.
- Click the Delete Contact button on the Contacts tab.
- Select Yes on the warning message.
- Click the Edit Address button on the right.
- Enter the address information in the new dialog.
- Click Ok.
- Click Save on the customer record. .
Sage 50 requires you to have a bill-to contact and you cannot delete it. However, you can edit the fields and change the name, phone numbers, etc., if there is a new bill-to contact for the customer. So, if you have a new bill-to contact, simply
- Replace the current bill-to contact's name in the Contact Name fields
- Update any other fields for the new contact
- Click Save.
Sage 50 will remove the old contact information and replace it with the new data.
Note: Changes made to addresses when you select Edit Address will be saved when you save the customer record, not necessarily when you save the contact record. Because of this, changes made while editing a contact's address will be kept even if you choose to discard changes made to the contact fields. You will lose changes made to the address only if you close the customer record without saving or if you manually undo them.
Field Descriptions
This field is for lookup purposes only. When you fill in the Contact Name field below it, Sage 50 will automatically create the Select a Contact value using the last name, first name format. You can use the lookup to recall Contact records and edit or delete them.
Enter the full name of the contact. Sage 50 will automatically fill in the Select a Contact field based on the information you enter here.
Note: The Last Name is a required field. Also, the first contact you enter will automatically be designated the Bill-to Contact.
Enter the name of the customer's company here.
Tip: This name can appear on quotes, sales orders, invoices, and so. Just make sure that you select Company Name in the Use _______ in the ship-to address field.
Note: If you converted from an earlier version of the product, the data in the Recipient field on the Addresses tab will be put in this field after conversion.
Enter the job title of this contact.
Select the gender of this contact.
Enter the contact's telephone and fax numbers, including extension.
Enter the customer or contact's email address. You can enter up to 64 characters. Enter the address using the [email protected] format.
To send an email message to this customer or contact, click the Email button to the right of the Email field. Your default email program will start with this address applied in a new message.
Use this field to specify the gender of the contact.
Select one of the Ship to addresses for this contact and customer. In this way, you can associate the contact with a particular location. The selected address will appear below so you can see the details.
If you need to add a new address, click the Edit Address button to the right of this field. This will open a window where you can add a new address. You can also see any existing addresses for this customer and edit them if necessary.
Enter any note(s) you want to keep on this contact. The character limit is 255.
Check this box if this will be the default ship-to contact and address. This name and address will then appear in the Ship-to fields of transactions (Quotes, Sales Orders, Invoices, and so on) automatically.
Use this field to select what information you want to appear in the ship-to address fields on customer transactions (quotes, sales orders, and so on). You can select either Contact Name or Company Name.
Note: This also affects what information prints on your forms--invoices, quotes, and so on.
Tip: Notes you enter for contacts can be viewed from some sales transaction screens when the contact is the Bill To or Ship To contact on the transaction. Learn more about Notes on sales transaction screens.
