Track It
You can use the Track It panel to apply statuses to transactions you enter in Sage 50 and to assign these transactions to individual users or all users with a particular role. This helps you track the flow of progress of transactions through your system. It shows others in your company, at a glance, the current state of a transaction.
You can use Track It along with My Inbox, the Transactions by Tracking Status dashboard section, the Transaction Detail by Status report, and Notifications to track transactions in Sage 50.
Tip: The information on the Track It panel is part of the transaction. When you enter or change information on the Track It panel, you must save the transaction to save this information.
Open a transaction screen (Quotes, Sales Orders, and so on). If that type of transaction can be tracked, the Track It panel will be on the right side of the screen. If you see the words Track It on the right side of the screen, but don't see the panel, this means the panel has been closed. Click where you see Track It to open the panel.
Yes. Click Close.
If the panel is closed, you can click Track It on the right side of the screen to reopen it.
Status Tab
Tracking Status: Select the status you want to assign to the transaction here. The available statuses were set up by you or someone else in your company. So if you don't see the status you want, you can add it. How do I add statuses?
Assigned to: You can assign this transaction to a user or role in your company. Just select a user or role from the drop-down. A user or role must have at least Edit access to the transaction type to appear in the drop list. How do I add an assignee?
Note: An assignee may automatically appear on the Track It panel after the tracking status is selected, depending on how the tracking status was set up. You can change this assignee, if necessary.
To add a note:
- Click the Add or Edit link above the Notes area.
- Enter the note in the note dialog box.
- Click OK..
Note: The note is added, but not saved.
You must save the transaction to save the Note.
To edit a note:
- You can only edit notes that have not been saved.
- The steps to edit a note are the same as the steps to add a note.
- If the note that was entered last was not saved, entering info in the note dialog box will edit that note. (The title of the note dialog will say Edit Track It Note.)
- If the last note that was entered was saved, entering info in the note dialog box will create a new note. (The title of the note dialog will say Add Track It Note.)
Next Step: This field displays the next step for a transaction as it was set up for the current Tracking Status. If you want to change the next step, you must edit the tracking status. How do I edit a tracking status?
You can have Notifications sent to users when the assignee and/or tracking status is changed on a transaction. To send notifications, you need to set up Notification Rules. Clicking the Add or edit notification rules link will take you to the screen where you can set up notification rules.
History Tab
On the history tab, you can track changes to a transaction as it moves through your system.
Show Changes to: You can filter the information that displays in the change log by Tracking Status, Assigned to, or Notes.

Note: When you make a change to the status or user for a particular transaction, the change will be logged on the History tab of the Track It panel.
