Use this window to manage the types of statuses you have for different types of transactions.
- The column on the left shows you the different types of transactions that can be assigned tracking statuses.
- The Tracking Status Details section is where you can enter or view the information about a status such as the status name, who (if anyone) should usually be assigned transactions with this status, and what needs to happen next when a transaction has this status.
- The _____ Status List shows you all of the statuses that have been created for a transaction type. You can rearrange these by using the Move Up and Move Down buttons.
- From the Sage 50 menubar, select Maintain, Workflow, Tracking Status Settings.
- Or from the Track It panel on a transaction, select the Add or Edit link above the Tracking Status field.
- Select the transaction type from the column on the left.
- If the Tracking Status Details are not blank, click Add.
- Enter the name of the new status in the Name field under Tracking Status Details.
- Select the checkbox below Name if you want this status to be the default for new transactions.
- If you want a transaction that is assigned this status to automatically be assigned to a particular user or role, select that user or role from the drop list. A different user or role can still be selected when the status is assigned to the transaction, if necessary. A user or role must have at least Edit access to the transaction type to appear in the drop list. How do I add an assignee?
- If there are certain things that need to happen when the transaction has this status, enter those steps in the Next steps box.
- Click Save.
Note: If you select this checkbox, this status will automatically appear in the Tracking Status field on the Track It panel whenever you create a new transaction of this transaction type. This makes data entry easier if you usually assign a particular status to a certain transaction type when the transaction is created. You can change the status on the Track It panel if you need to assign a different status.
- Select the transaction type from the column on the left.
- Select the status you want to edit from the _____ Status List on the right.
- Make any necessary changes to the status information.
- Click Save.
- Select the transaction type from the column on the left.
- Select the status you want to delete from the _____ Status List on the right.
- Click Delete.
- Click Yes.
Anyone who has Full Access to Tracking Status Settings can add, edit, or delete Tracking Statuses.

Use the Track It panel on the transaction to assign a status to the transaction. The status of a transaction can also be assigned from My Inbox.
You can use the My Inbox and Transactions by Tracking Status sections on My Dashboard to keep track of transactions that have statuses. Learn about adding sections to My Dashboard.
You can also use the Transaction Detail by Status report to view transaction details by status and by assignee. This report can be accessed from Reports & Forms>General Ledger and from the Transactions by Tracking Status dashboard section.
