Select Customers for Broadcast Invoicing

  • This screen appears when you have selected Send to multiple customers from the drop-down menu next to the Copy button on the Sales/Invoicing screen.
  • This filter screen helps you to select the customers that you want to use when creating the invoices.
  • Once you have made your selections, click OK to proceed to the Create Broadcast Invoices screen which contains a grid with a list of customers that meet the filter critera.
  • Select the customers that you want to create invoices for from the grid.
  • If you do not see the customers you want in the grid, you can select the Return to filter screen button to return to the filter screen and change your filter selections.

Customer Filters

If you want to create invoices for a particular customer or range of customers, you can use either the Customer ID filter or the Customer Name filter to specify the customer or customers.

ID: If you want to filter by Customer ID, select this radio button and enter the customer IDs here. If you want to filter for one customer, enter that customer's ID in both ID boxes. Leave this filter selection blank if you do not want to filter by customer ID.

Name: If you want to filter by Customer Name, select this radio button and enter the customer name here. If you want to filter for one customer, enter that customer's name in both Name boxes. Leave this filter selection blank if you do not want to filter by customer name.

Active/inactive: Use this filter to select customers that are active customers only, inactive customers only, or both active and inactive customers. Customers are made inactive by selecting the Inactive checkbox on the Maintain Customers window.

Customers/prospects: Use this filter to select customers only, prospects only, or both customers and prospects. Prospects are created on the Maintain Customers window by selecting the Prospect checkbox. After you create an invoice for a prospect, the prospect is automatically changed to a customer.

Other Filters

Zip Code: Select All to select customers in all zip codes. Select Mask if you want to select customers in specific zip codes. For example, if you want to select customers with zip code 30316, select Mask and enter "30316" in the zip code field. If you want to select customers whose zip code begins with 303, select Mask and enter "303**" or "303**-****" in the zip code field depending on how you have entered zip codes for your customers.

Type: If you want to select customers with a particular customer type or a range of customer types, select Range and then enter the customer types in the From and To boxes. If you want to filter for one type of customer, enter that type in both the From and To boxes. Customer types are specified for each customer on the Maintain Customers window. Select All if you do not want to filter by customer type.

Delivery Method: This filter option allows you to select customers based on the customer's form delivery method. You can choose print only, email only, or both print and email. Delivery methods are specified for each customer on the Sales Info tab of the Maintain Customers window.

Sales Rep ID: If you want to select customers associated with a particular sales rep or a range of sales reps, select Range and then enter the sales rep IDs in the From and To boxes. If you want to filter for customers associated with one sales rep, enter that sales rep ID in both the From and To boxes. Sales reps are specified for each customer on the Maintain Customers window. Select All if you do not want to filter by sales rep.

Custom Field Filters

You can select customers based on the information that was entered in the Customizable Fields on the Maintain Customers window. Customizable Fields for customers are set up in Maintain Customer Defaults.

Custom Field 001 - 005: If you want to select customers with a particular value in a custom field or a range of values in a custom field, select Range and then enter the value in the From and To boxes for the appropriate custom field. If you want to filter for one value in a custom field, enter that value in both the From and To boxes for the approriate custom field. Custom field values are specified for each customer on the Maintain Customers window. Select All if you do not want to filter by the custom field.

Buttons

OK: Select this to advance to the Create Broadcast Invoices screen which contains a grid with a list of customers that meet the filter critera.

Cancel: Select this to return to the Sales/Invoicing screen without creating any invoices.

Help: Select this to open a related help topic.
