The Collection Manager is available from the Analysis menu. Use this tool to display the aging status of your customers using a graphic as well as a numerical analysis list. Transactions that can be included are any open invoices.
You can use the Collection Manager to print collection letters for customers with overdue accounts.
Note: If you are using the batch-posting method, you must first post all transactions to get an accurate representation of your customers' payment status.
Windows
You can choose to have the information shown as of a date that you enter in a field near the top of the window.
You can select to have your information presented:
Graphically: You can choose to show information about customers who are late with a pie, bar, or column chart.
The pie chart shows what percentage of your customer invoices outstanding is in each bracket as of the current date, the current date compared to a month ago, or the current date compared to a year ago. The top of the pie chart window shows the average of the days overdue for your customers.
The bar (horizontal) and column (vertical) charts show the dollar amount of outstanding invoices for each aging bracket, along with the total dollar amount of the outstanding invoices.
Numerically: The aging brackets on this window show the total dollar value of the late payments, the number of invoices due, and the number of customers overdue.
The aging brackets used by the graph are those you set up in Customer Defaults. In addition, the aging is done by invoice date or due date, depending on what you set up in the customer default information.
When you open the Collection Manager, Sage 50 initially displays this window. It defaults to whatever setting (graphic or numeric) you had it on when you last closed it.
By bracket: This lists the invoices in a selected aging bracket. At this level, you can send a collection letter to a customer who is late by selecting the Letter check box to the right side of the window. Then, click the Letter button.
To see the Bracket window, select an aging bracket on the Numeric window, and either double-click or select the Bracket button.
By customer due: This shows the invoices due for a selected customer. When you are in the Bracket window, you can double-click a customer line or click Source.
By detail: This shows the invoice detail for a particular customer by displaying Sales/Invoicing. To see this, select an invoice from the Customer Due window, and either double-click or select the Detail button. You can modify the transaction here.
The Selection button at the top of the window allows you to choose the customers whose aging information you want to see. This button is available only if you're viewing the Graph, Numeric, or Bracket windows.
This lists in the Collection Manager the invoice information for customers for a particular aging bracket. If you want to see all invoices for a particular customer regardless of aging period, either double-click the customer's name in the list or select a customer from the list and choose the Source button.
You can select the aging bracket to show by using the Days Past Due field near the top of the window. You can select an As Of date for the bracket by using the field near the top of the window.
The information on this window is view only:
Age: This is the age of the particular invoice. A negative number indicates the invoice is not yet due.
Name: This is the name of the customer.
Ref: This is the number that was given to the invoice at the time it was created.
Document Date: This is the date the invoice was created or the receipt was received.
Due Date: This is the date the payment is due.
Total Amount: This is the total amount of the invoice.
Letter: Selecting this check box will print a collection letter to the customer for that specific bracket and invoice. You can select as many invoices as you want. When you have selected all the ones you want, you can select the Letter button at the top of the window.
This lists in the Collection Manager detail on all invoices for a particular customer in a particular age bracket. If you double-click an invoice or select an invoice and select the Detail button, Sage 50 displays the Sales/Invoicing window. You can choose to modify the invoice or just view it.
Age: This is the number of days the invoice is overdue.
Ref: This is the number given to the invoice when it was created.
Doc. Date: This is the date the invoice was created.
Disc. Date: This is the date until which the customer can receive a discount.
Due Date: This is the date payment is due.
Tot. Amt.: This is the total amount of the invoice.
Amt. Rec.: If you have entered a partial receipt for your customer, that amount appears here.
Amt. Due: This shows the total amount the customer has left to pay.
