Void Existing Credit Memo (Window)

You can void a customer credit memo if the memo is related to an existing invoice (that is, if it was entered in the Credit Memos window.

Note: If it was applied instead to a receipt (that is, if it was entered in the Receive Money task window), you will first have to delete the receipt before you can void the related credit memo.

To void a selected credit memo in the Credit Memos window, click the Void button in the toolbar.

Then the Void Existing Invoice window appears. At The following credit memo will be voided as of, Sage 50 offers the system date as the default void date. Accept this date, or enter a new one. Then, to void the credit memo, click OK.

When you void a credit memo, the following happens:

  • Sage 50 creates a new voided credit memo based on the original entry and makes a reverse entry to your general ledger, thus cancelling the original memo (debiting sales and crediting accounts receivable).
  • Sage 50 creates a zero-dollar receipt to pay off both the original and the voided credit memo so that neither shows up as an aged receivable.

    When you view the zero-dollar receipt in the Receive Money window, it will show both invoices as paid (on the Apply to Invoices tab). Note that the voided invoice has the same number as the original invoice but with a "V" appended. Also, note that the check/reference number of the receipt is the same as the original invoice number.

Note: In cases where maintaining an audit trail is not important, you can choose to delete rather than void a credit memo. When should I delete instead of voiding a credit memo?
