Purge Criteria - Inventory Items

When you select all desired options in the Purge wizard and then start the purge process, the wizard analyzes whether individual transaction and maintenance records can be deleted based on a number of criteria. This topic describes the criteria that determine when inventory items will not be purged.

An inventory item is retained if one of the following is true:

  1. It is active.
  2. The quantity on hand for the item is not zero.
  3. The item is used on any of the following transactions that have not been purged:
    • quotes
    • sales orders
    • sales
    • credit memos
    • receipts (excluding summary receipts)
    • time and expense tickets (Sage 50 Premium Accounting and higher)
    • purchase orders
    • purchases
    • vendor credit memos
    • payments (excluding summary payments)
    • assembly adjustments
  4. The item is used on any of the following memorized transactions:
    • quotes
    • sales invoices
    • purchase orders
    • payments
  5. The item is used on any inventory adjustment that is related to a job.
  6. The item is used on any assembly.
  7. The item is used on any assembly adjustment.
  8. The item is a master stock item and any of its associated substock items cannot be purged (Sage 50 Premium Accounting and higher).
  9. The item is a substock item and its associated master stock item or any associated substock items cannot be purged. (Sage 50 Premium Accounting and higher)
  10. The item is used on an inventory adjustment, inventory system adjustment, or inventory beginning balance that has a transaction date greater than the purge-through date.
  11. The item is used on an inventory adjustment that relates to a job.
  12. The item is used on an assembly adjustment regardless of date.
